GENERAL TERMS AND CONDITIONS OF SALES

Please read the terms and conditions below carefully, the following conditions will apply

Registration fees and deadlines:
• Early Registrations will be accepted until 30th April 2025 – 23h59 CEST.
• As of 1st May 2025 until 17th May 2025 – 23h59 CEST, Standard Registration fees apply for every new registration.
• Registration for the ACI 2025 World Congress is confirmed upon receipt of full payment.
• Purchase orders will be invoiced according to the rate applicable at the time of the payment reception (even in case of lower rate applicable at the time of the order).
• All registration fees are non-transferable.

Registration Categories:
• Membership affiliation will be checked at the end of registration and needs to be valid at the time of the registration until 30th June 2025.
• The Event organizer reserves the right to change the registration category for any delegate whose category does not meet these criteria.

Cancellation and refund policy:
• Cancellations of Congress registrations received in writing prior to 28th May 2025, 23h59 CEST, with payment to be refunded minus 25% administration fees. After this deadline, no refunds will be issued.
• Hotel bookings made via the Event organizer are subject to availability and hotel terms. Cancellations of hotel reservations must be submitted in writing prior to 15th May 2025, 23h59 CEST, with payment to be refunded minus 80% cancellation fees. After this deadline, no refunds will be issued. The Event organizer is not responsible for any additional costs, damages, or expenses related to hotel accommodations.
• Cancellation of travel reservations made via the Event organizer must be submitted in writing as soon as possible. Depending on the date of cancellation, fees may apply, or contracted travel may not be refundable.
• The Event organizer is not responsible for double registrations nor bank card refusals.

Methods of payment:
• Credit card: Bank cards accepted for payment are Visa, MasterCard, and American Express. The Event organizer may have to contact the Participant by email or by telephone to ask for additional information about the identity of the buyer and the owner of the bank card. For its payment system, the Event organizer uses a secure online payment service provider.
• Bank transfer: The amount due is including all expenses payable by the sender (bank fees are at the Participant’s expense). Payment by bank transfer is expected to be settled in the next 5 days after the registration.
• Cash: Payment by cash will only be available for onsite registrations and is not accepted for online registrations.
• Cheques: Please note that payments by personal cheque are not accepted.

Program Changes:
• The Event organizer reserves the right to modify the Event program, speakers, or venue without prior notice.
• Liability and Insurance: Participants are responsible for their travel, medical, and personal insurance. The organizer is not liable for any personal injury, loss, or damage to property during the Event.
• Force Majeure (Unforeseen Events): The Event organizer is not liable for any delay, alteration, or cancellation of the Event due to circumstances beyond its control, including but not limited to natural disasters, pandemics (e.g., COVID-19), government restrictions, strikes, or other force majeure events. In case of a cancellation or postponement due to such circumstances, the Event organizer will endeavor to reschedule the Event. Refunds or credits will be provided at the Event organizer’s discretion and subject to incurred costs.

DATA POLICY
• Purpose: Participant information will be used solely for Event-related purposes unless consent is provided for other uses.
• Who has access to the data: AREP Agency, ACI FMA & sponsors.
• Data retention period: 2 years after the end of the meeting.
• Rights of access and modification of your data: on request at contact@aci2025worldcongress.com.
• Transfer of your data outside the European Union: the transfer of data can be used for ACI FMA outside the EU.

GOVERNING LAW
These terms are governed by the laws of France.
By registering for the Event, you agree to these Terms and Conditions.
